Vienna: See the host country’s consulate website for current information. The international student office at the host institution may also have information.
Groningen: A residency permit will be required if you are staying in Groningen for four months or more. Paul van Steen will provide details of this process, and the University will take care of all logistical details AND will provide you will directions. You will be required to fill out the residency permit forms, provide photo-copies of your passport, and provide a passport-size photo (make sure it is European standard, as a suggestion, get the photo taken at the US Post Office, not somewhere like Walgreens/CVS) which will need to be sent to the University of Groningen by the end of June/early July (you will be notified of this deadline). Upon arrival to Groningen, the University will once again notify you of other details regarding registration with the city (this will be done the end of August). BE ADVISED that a copy of your birth certificate (not a photo-copy, but an officiated, sealed copy) must be presented during this end of August registration period.
